Rationale:
|
Via Resolution 15.3 at their meeting on August 21, 2019, the Trustees awarded the subject assignment to E&R Engineering. The resolution assigning only 5 of the 7 tasks in the RFP for a fee of $280,000.00. The fee for all seven tasks as proposed was $400,000.00.
This resolution is to add the remaining 2 tasks of the original proposal for the fee of $120,000.00. Another $130,000.00 in design fees are being recommended for additional scope of work and requisite adjustments to the overall budget.
The original RFP established a project budget estimate of $5,500,000.00. Upon closer inspection of the conditions in the building in comparison to the outcome specified in the original RFP with District directed added work the overall project cost estimate is $8,400,000.00.
The added scope of work includes but is not limited to: new roof on the modular building, new HVAC roof top units for the cafeteria, kitchen and lobby and the re-location of the new building elevator to the exterior of the building.
Overall cost of CIP 10875 is now estimated at $8,400,00.00. Work is anticipated to take two years and commence in the fall of 2021, funding permitted. The scope includes but is not limited to: complete new roof, complete new heat plant & controls, new windows, (with case work, shades, AC units) new ADA elevator, High Tech Security, remodeled toilet rooms, select interior finishes and requisite hazardous materials abatement.
This is the second amendment. The first merely transferred this assignment to a new contract number with no changes to the terms.

Ladies and Gentlemen:
WHEREAS: via Resolution 15.3 on August 21, 2019 the Board of Trustees, assigned Eisenbach & Ruhnke Engineering, P.C. to professional engineering services for CIP10875 “ Roof, Heating Plant & Replacement and Interior Upgrades” at Martin Luther King Jr. School under contract 617107 in the amount of $280,000.00 for a term of 1095 calendar days, and
WHEREAS: via Resolution 15.15 on February 26, 2020, the Board of Trustees authorized the award of Contract 2020-0594, Architectural/Engineering to Eisenbach & Ruhnke Engineering, P.C. in response to RFP404 “On-Call Architectural Services” for an amount not to exceed $1 million, a term of 3 years, , and
WHEREAS: Via Resolution 15.3, Amendment 1 on July 15, 2020, the Board of Trustees reassigned the task for CIP10875 to contract 2020-0594 for Eisenbach & Ruhnke Engineering, P.C., effectively replacing the expiring Contract 617107, and
WHEREAS: additional work as defined under that contract is required of Eisenbach & Ruhnke, P.C. to complete project 10875, “ Roof, Heating Plant & Replacement and Interior Upgrades” at Martin Luther King Jr. School under existing Requirements Cont 2020-0594 to Eisenbach & Ruhnke Engineering, P.C., in the amount of $250,000.00 increasing the fee from $280,000.00 to $530,000.00 for a term of 730 calendar days

NOW THEREFORE BE IT RESOLVED: That the Superintendent of Schools is hereby authorized to amend the existing assignment to Eisenbach & Ruhnke Engineering, P.C., 291 Genessee Street, Utica, NY 13501 to provide additional design services for CIP 10875 “ Roof, Heating Plant & Replacement and Interior Upgrades” at Martin Luther King Jr. School to Eisenbach & Ruhnke Engineering, P.C., in the amount of $250,000.00 increasing the fee from $280,000.00 to $530,000.00 with no change to the term, under contract 2020-00000594 for , “On-Call Architectural Services for the School Facilities Management Department”
